Overview

What it is

A freelancer's year is a loop that repeats every three months: invoice, log, close the quarter, pay, repeat. Most of the stress comes from doing the closing in a rush. This system keeps the numbers ready all year. It is not a loose template: it is a workbook that calculates, with a guide, printables and a worked example.

How it works

Six steps, always in the same order and the same colour across the workbook, the guide and the printables: set up, invoice, log expenses, close the quarter, set aside and review.

  1. Fill in once the tax year, your standard VAT rate and your usual withholding.
  2. Log each invoice with its client, base, VAT and withholding. Leave VAT or withholding blank to use your usual rates.
  3. Log each expense with its category and the deductible percentage. The workbook applies that share to the expense and its VAT.
  4. The Quarters sheet calculates income, deductible expenses, VAT charged and paid, the VAT result (303) and the estimated instalment (130), with each quarter's deadline.
  5. The Dashboard tells you how much to set aside (VAT + instalments), how much clients still owe you and the estimated annual income tax.
  6. The Tax Calendar gathers the year's deadlines with a done column.

What makes it different

  • A worked example of a freelance illustrator, January to September, with each quarter's figures explained step by step in the guide.
  • Calculations are visible formulas, no macros: they behave the same in Excel, LibreOffice and Google Sheets.
  • Protected sheets: formulas cannot be deleted by accident.
  • Rates and percentages are yours and editable: they are not hard-wired into the formulas.
  • Printables for everyday use: a blank invoice, logs, a quarter-close checklist, a calendar and a year-end checklist.

What it is not

A bookkeeping aid. It is not tax, legal or accounting advice, it does not file any return and it does not know your situation. Rates, deadlines, forms and obligations change and depend on your case: check them with the Spanish Tax Agency or an accountant before you file or pay. The workbook uses the invoice-date basis. It makes no promise of tax savings.

What it helps you do

  • Know each quarter how much VAT and instalment you need to prepare
  • See how much to set aside for taxes and avoid surprises
  • Invoices and expenses in order, ready for your accountant
  • Know which clients owe you money, and since when
  • The year's deadline calendar on one sheet

Frequently asked questions

What exactly do I receive?

One ZIP with the workbook, the Master Guide, the “Start here” document, 6 printables in A4 and Letter, a worked example and the documentation. You download it from “My products” instantly.

Does it file my returns or replace my accountant?

No. It calculates the figures you use to prepare models 303 and 130 and gives you the deadline calendar, but you or your accountant file the returns. It is not tax advice.

Are the VAT and withholding rates written into the workbook?

They are editable. The workbook ships with common values so it works from the first minute, but rates and deadlines change and your case may differ: confirm them with the Spanish Tax Agency or your accountant.

Does it work if I am in modules or the equivalence surcharge?

It is designed for the usual VAT regime and direct estimation of income. If you are in a special regime, check with your accountant first.

Does it work in Google Sheets and LibreOffice?

It is built only with functions common to all three programs and has no macros. The calculations were checked with an independent formula engine; it has not been tested on a desktop Excel installation or printed on paper.

What is the difference between the Spanish edition, the English edition and the pack?

Each edition is written independently in its own language, with its own sheet and file names. The pack includes both for less than buying them separately.

Does it guarantee I will pay less tax?

No. It is a tool to organise your accounts and see your figures; what you pay depends on your situation and on the rules.
